Modify Dataset or List Subscribers by Import
- To access the one-time import wizard for a dataset, select the desired dataset node in the Subscriber Datasets subtree. Then select Edit -> Subscriber Import -> Import Subscribers Now from the menu (or go via the right-click menu of the dataset node in the explorer tree).
-
To access the one-time import wizard for a list, open the node of the parent dataset of the desired list in the
Subscriber Datasets
subtree, to show its subnodes.
- For a standard dataset (in subscriber area mode), proceed to open the Lists subnode, to show the subtree with all the lists in the dataset. Then select the desired list node in this subtree.
- For a "single list mode" dataset, there is no such "Lists" subnode. Simply select the node for the single list from the subnodes of the dataset node.
The import wizard lets you define the modifications that shall be performed on the list and/or dataset subscribers.
The modifications defined in this wizard are used once, for a one-time import of subscriber data. If you want to define modification settings that you can save for later re-use, define and save a subscriber importer instead.
The wizard has seven pages: Type, Type Details, Source, Parse Details, Map Fields, Mapping Details, and Launch Import.
The top row of the wizard displays links to these seven pages. The page that is currently open is marked with a highlighted background color. Depending on the choices made on some of the wizard pages, other pages may become disabled or may be shown in different versions. If a wizard page is disabled, then it means that this page is not necessary with the current choices and can safely be ignored.
Type Page: Define Dataset/List Modification Type
This screen defines the general type of the modification. Select the type of modification you want to perform, depending on if you are modifying a dataset or list.
Modifying a Dataset
The following modification types are available:
Add to Dataset: Adds new subscribers to the dataset. If the email address of a row in the imported data is not already found in the dataset, then the system tries to add a new dataset subscriber with the data from that row. To succeed, all required fields must be supplied with a value in the row. Any row with an email address already found in the dataset are skipped.
Update in Dataset: Updates existing subscribers in the dataset. If the email address of a row in the imported data is found in the dataset, the system tries to update the existing dataset subscriber with the new values from that row. To succeed, at least one additional column of data must be supplied.
Synchronize with Dataset: A combination of the above Add and Update. If the email address of a row in the imported data is not found in the dataset, then the system tries to add a new dataset subscriber with the data from that row. If the address is found in the dataset, then the system tries to update the existing subscriber with the new values from that row. Because of the fact that in some cases new dataset subscribers are created, all required fields must be supplied with a value in each row.
Full Synchronize with Dataset: A combination of the above Synchronize with a removal of all superfluous subscribers in the dataset. As above, for any row in the imported data, if the address is not already a dataset subscriber, then the system tries to add it as a subscriber. If it is already a dataset subscriber, then the system tries to update the existing subscriber. In addition, every existing dataset subscriber with an address that is not found in any row of the imported data is removed from the dataset and all its lists. In other words, after the full synchronize, the dataset contains only subscribers whose addresses were found in the imported data, either freshly added or freshly updated.
Remove from Dataset: Removes existing subscribers from the dataset. If the email address of a row in the imported data is found in the dataset, then that dataset subscriber is deleted from the dataset and all its lists. For this operation, only an email column is required in the imported data, any additional columns are ignored.
If the subscriber or administrator has changed the subscriber data manually before the import, then the data is only updated if overwriting manual changes is allowed (see the Type Details screen).
Modifying a List
The following modification types are available:
Add to List: Adds new subscribers to the list. If the email address of a row in the imported data is not already found in the list, then the system tries to add a new subscriber with the data from that row. To succeed, all required fields must be supplied with a value in the row. A row with an email address already found in the list is skipped. (If necessary, the subscriber is first added to the dataset the list belongs to, but only if this has been allowed before, see the Type Details screen.)
Update in List: Updates existing subscribers in the list. If the email address of a row in the imported data is found in the list, then the system tries to update the existing subscriber with the new values from that row. To succeed, at least one additional column of data must be supplied. (If allowed, the shared dataset values of the subscriber are also updated, see the Type Details screen.)
Synchronize with List: A combination of the above Add and Update. If the email address of a row in the imported data is not found in the list, then the system tries to add a new subscriber with the data from that row. (If necessary, the subscriber is first added to the dataset the list belongs to, but only if this has been allowed before, see the Type Details screen.) If the address is found in the list, then the system tries to update the existing subscriber with the new values from that row. (If allowed, the shared dataset values of the subscriber are also updated, see the Type Details screen.) Because of the fact that in some cases new dataset subscribers are created, all required fields must be supplied with a value in each row.
Full Synchronize with List: A combination of the above Synchronize with a removal of all superfluous subscribers in the list. As above, for any row in the imported data, if the address is not already a subscriber, then the system tries to add it as a subscriber. If it is already a subscriber, then the system tries to update the existing subscriber. In addition, every existing subscriber with an address that is not found in any row of the imported data is removed from the list (but not the dataset or any other lists). In other words, after the full synchronize, the list will contain only subscribers whose addresses were found in the imported data, either freshly added or freshly updated.
Remove from List:
Removes existing subscribers from the list. If the email address of a row in the imported data is found in the list, then that subscriber is deleted from the list (but not the dataset or any other lists). For this operation, only an email column is required in the imported data, any additional columns are ignored.
If the subscriber or administrator has changed the subscriber data manually before the upload, then the data is only updated if overwriting manual changes is allowed (see the Type Details screen).
